Invoices
Open Finance → Invoices to create, review, and track invoices. The page lists every invoice for your business and links into detail, review, and upcoming views.
What you can do on Invoices
From this page you manage the full invoice lifecycle: create drafts, send them to customers, record or charge payments, apply account credit, set up payment plans, download PDFs, and void invoices that should no longer be collected.

Summary cards
Four cards at the top of the page summarize invoice work and jump you into related views.
Recurring drafts — Count of recurring invoices waiting for review. Opens the review screen to approve and send them.
In collections — Outstanding balance for invoices in collections. Applies the collections filter to the list.
Invoices in collections — Count of unpaid issued invoices in collections. Applies the same collections filter.
Upcoming invoices — Count and total for invoices scheduled to send. Opens the upcoming invoices list.
Review recurring drafts
When Review recurring invoices before sending is on in Payments settings, Tide creates recurring invoices as drafts on the billing day for approval instead of emailing them immediately. Open the queue from the Recurring drafts card.
On Review recurring draft invoices you can filter, approve, and send the batch.
Filter by All, Routine amount, Approved, Unapproved, Uncontactable, Visits Below Plan, or Duplicate Property
Search by customer and sort by Biggest change, Amount, or Name
Approve drafts individually or with Approve all shown — approving only marks them ready to send and does not email customers
Send the ready drafts with Send N approved, then confirm with Send approved invoices
If nothing matches the filter, the screen shows Nothing to review here and that no recurring drafts match the current filter.
Find invoices
Use search and filters above the list to narrow what you see.
Search — Invoice number, customer name, or address
Status — All statuses, All collection statuses, Draft, Sent, Viewed, Partial, Processing, Overdue, Paid, or Void
Payment plan — All invoices, Has payment plan, or No payment plan
Date range — Limit the list to invoices in a start and end date window
Each row shows the invoice number, status, customer, issued date, due date, property address when present, and total. If a balance remains after a partial payment, amount due appears with the total. Rows can also show a Past due badge when the due date has passed, and a Plan badge when the invoice has a payment plan.
The list shows 15 invoices per page. Use Previous and Next when there is more than one page. If nothing matches, the list shows No invoices found.
Invoice statuses
Every invoice carries a status that controls which actions are available.
Draft — Created but not delivered to the customer
Queued for Send — Reviewed and queued, not yet dispatched
Sent — Delivered to the customer
Viewed — The customer has opened the invoice
Partial — Some payment received; balance remains
Processing — An ACH payment is in flight
Overdue — Past the due date with an unpaid balance
Paid — Fully paid (terminal)
Void — Cancelled and no longer valid (terminal)
Disputed — Under dispute or chargeback
Create an invoice
Select New invoice to open the create form. New invoices are saved as drafts; sending is a separate step on the invoice detail page.
In Finance → Invoices, select New invoice.
Choose the Customer. Optionally choose a Property when the charge belongs to a specific site.
Set Type (One-time, Recurring, Repair, or Credit), Issue date, and Due date.
Add line items with description, category (Service, Chemical, Repair, Equipment, or Other), quantity, and unit price.
Adjust tax rate and discount if needed, and add notes for the customer.
Select Create invoice. Tide opens the new draft on the invoice detail page.
You can also start from a customer record’s Invoices tab, which links to New invoice and can pre-select that customer. The total must be greater than zero, every line item needs a description, and at least one line item is required.
To bill completed field work from a work order, open the work order and select Generate Invoice once it is completed. A work order in Review must be marked Complete first; invoicing from Review is not available. Tide creates the invoice, links it on the work order, and marks the work order invoiced.
Invoice detail
Open any invoice to see its full record and run status-based actions.
The header shows the invoice number, status, and a link to the customer. Summary cards show Total, Paid, Amount due, and Due date.
Line items — Description, quantity, unit price, total, and category, with subtotal, tax, discount, and balance
Payment history — Shown when the invoice has payments. Each row lists method (Credit Card, ACH Transfer, Cash, Check, or Other), transaction ID when present, processed date, status (Completed or Failed when those apply), and amount
Payment plan — Installment schedule and plan controls when a plan exists
Details — Type, collections status, service period, paid date, and notes when present
Paused payment reminders on an invoice
When a customer's payment reminders are paused, an open invoice for that customer shows Reminder history with a notice that payment reminders are paused for the customer until the resume date, so no automated reminders will be sent for that invoice before then. The panel appears even when the invoice has no reminder records yet. Paid and void invoices don't show this notice. The invoice page only displays the pause — pause or resume reminders from the customer record.
Actions on an invoice
Available actions depend on status, balance, role, and whether a payment plan or payments already exist.
Send invoice — Draft only. Emails the invoice to the customer.
Mark as sent — Draft or Queued for Send. Marks the invoice sent without using the send flow.
Resend invoice — Sent, Viewed, Partial, or Overdue. Sends again to the account owner and property contacts; billing-opted contacts show a Billing badge.
Edit — Draft, Sent, Viewed, or Overdue when nothing has been paid and there is no active payment plan.
Record payment — Any non-void, non-paid, non-processing invoice with an amount due. Logs an offline or external payment (Cash, Check, Credit Card, ACH, or Other) with amount and optional reference number.
Make payment — Owner or admin only. Charges a card through Stripe when the invoice is chargeable, has an amount due, and Stripe is ready with a connected account.
Create payment plan — Available when there is an amount due, no existing plan, and the invoice is not Draft, Paid, Void, or Processing. For schedule options and plan management, see Payment Plans.
Apply credit — Owner or admin only, on Sent, Viewed, Partial, or Overdue invoices with amount due and available property credit. If the invoice has an active payment plan, credit must settle the invoice in full.
Download PDF — Always available from the actions menu.
Void — Cancels the invoice. Unavailable for Void, Paid, or Processing.
Record payment logs money you already received outside a card charge in Tide. Make payment runs a live card charge through your connected Stripe account.
Automatic billing
For new organizations, automatic billing of recurring service plans is off by default. Tide does not generate or email those invoices until you go live, so you can finish service plans, pricing, and billing settings first.
When billing is still off and Stripe is ready, Finance → Invoices shows Automatic billing is off with this message: automated billing of recurring service plans is disabled by default, and no invoices will be generated or emailed until you go live. The same banner appears in Settings under Payments. It only shows when Stripe is ready; if Stripe is not ready, finish Connect setup first.
On Finance → Invoices or Settings → Payments, select Go Live.
Confirm. Automated billing for recurring service plans turns on. Starting on your billing cycle day each month, Tide generates and emails invoices for customers on a recurring service plan. This cannot be undone from the banner.
While the request runs, the button shows Going live…. After success, the banner disappears from Invoices and Payments settings, and Tide includes your organization in automatic billing.
Going live is one-way — there is no control in the app to turn automatic billing back off. Review billing cycle day, billing model, the recurring review setting, and autopay delay in Payments settings before you confirm.
Automatic Customer Suspension
Automatic Customer Suspension pauses service for customers who leave an invoice unpaid past a threshold you set. It is off by default and only available once you've connected a Stripe account.
Configure it in Settings → Payments under Payment Settings. Enable Suspend customers automatically for non-payment and set Suspend after to the number of days past due. The default threshold is 90 days, with a minimum of 45 to ensure it does not overlap with the standard invoice dunning schedule.
Which invoices qualify
An invoice counts toward suspension when it is in Sent, Viewed, Partial, or Overdue status, has an amount due, and is past its due date. Invoices with a future autopay charge date, and invoices on an active or paused payment plan, are excluded. Qualifying invoices are grouped by customer, so an unpaid balance at one property can suspend the customer and affect all of their properties.
Warning and suspension
About a week before the threshold is reached, the customer gets a warning by email or text (billing notifications) telling them service will be suspended on a set date unless they pay. If the balance is still unpaid once the invoice is past the threshold and the warning has been in place for at least a week, the customer is suspended. A customer whose payment reminders are paused is skipped by the warning and suspension while the pause is active. The warning marker stays fresh for 30 days, so a customer who is still unpaid after a warning gets a fresh warning cycle rather than being suspended again immediately.
What happens when a customer is suspended
The customer's status changes to Suspended with a generated reason, and an activity entry is recorded. Today's and future eligible scheduled route stops are removed, with the backing visits kept as cancelled and remaining routes resequenced. Service plans are not cancelled and route-template membership is kept, but the plans are treated as inactive while the customer is suspended, so recurring billing stops.
The customer receives a final suspension notice, and your team gets an internal Customer Auto-Suspended notification. If the electronic notice can't be delivered, a printed letter needs to be mailed — use Download Letter and Mark letter mailed on the customer record.
Reactivating a suspended customer
Suspension is not reversed automatically when the customer pays. An owner or admin must open the customer record and choose Reactivate to resume scheduling and billing. See Customers.
Stripe readiness
Online send and card charge flows need a ready Stripe Connect account. When Stripe is not ready, invoice detail shows Stripe account not ready for drafts you would otherwise send. Connect and finish setup in Settings before relying on email delivery or card charges. You can still create drafts and record offline payments. See Setting up billing.
