Inventory

The Inventory page tracks warehouse stock and technician-held items across your pool service business. You can see current quantities, receive new stock, check out items to technicians, and view the complete transaction history for every product.

Inventory overview

Navigate to the Inventory page to see your current stock levels. The page displays three summary cards at the top:

  • Warehouse — Total units currently in your warehouse

  • Checked Out — Total units currently with technicians

  • Products Tracked — Number of catalog items you're tracking

The stock table below shows each product with its category badge (Chemical, Product, Part, or Labor), name, SKU, barcode, warehouse quantity, checked-out quantity, and unit of measure. Sort the table by Product, Warehouse, or Checked Out columns to find items quickly.

Receiving stock

When products arrive from a supplier, use the Receive Stock workflow to add them to your warehouse inventory.

  1. Click Receive Stock from the Inventory page header.

  2. Search for a product by name or scan its barcode to look it up.

  3. Enter the Quantity to receive.

  4. Optionally add lot details for tracking purposes.

  5. Click Confirm Intake to add the stock to your warehouse.

After confirmation, you'll see a "Stock received!" message. Click Scan Another to continue receiving additional items, or navigate back to the main Inventory page.

Checking out items to technicians

Check out items from the warehouse to individual technicians so they have the products and chemicals they need for service visits.

  1. Click Checkout from the Inventory page header.

  2. Search for a product by name or scan its barcode.

  3. Select the Technician who will receive the items.

  4. Enter the Quantity to check out. The page shows the available warehouse quantity so you don't exceed your stock.

  5. Click Confirm to complete the checkout.

The items move from your warehouse count to the technician's checked-out inventory. You'll see a "Checked out!" confirmation when complete.

Adjusting stock quantities

If you're an owner or admin, you can adjust stock quantities directly to correct discrepancies from damaged goods, theft, counting errors, or other reasons.

  1. Find the product in the stock table.

  2. Click Adjust quantity in the row.

  3. In the Adjust Stock Quantity dialog, review the Current quantity.

  4. Enter the New quantity. The dialog calculates the change automatically.

  5. Enter a Reason for the adjustment. This reason is recorded permanently in the inventory audit log.

  6. Click Save Adjustment.

You'll see an "Adjustment Saved" confirmation, and the change will appear in the Inventory Log.

Only owners and admins can adjust stock quantities. Technicians cannot modify warehouse quantities directly.

Inventory Log

The Inventory Log shows the complete transaction history for your stock. Access it by clicking Usage Log from the Inventory page.

The log displays every inventory transaction with the following details:

  • Date — When the transaction occurred

  • Type — Intake, Checkout, Usage, Return, or Adjustment

  • Product — The item involved

  • Qty — Quantity changed

  • Technician — The technician involved (for checkouts, usage, and returns)

  • By — Who performed the action

  • Notes — Any additional details or reasons

Filter the log by transaction type to see specific activity. For example, filter by "Usage" to see all products consumed during service visits, or filter by "Return" to see items technicians returned to the warehouse.

How inventory connects to products

Inventory tracks quantities for items in your product catalog. When you add products in the Products & Catalog section, those items become available in inventory tracking.

Each catalog item connects to inventory through its unique identifier. When technicians log chemical usage during service visits, the system automatically matches the chemical name to your catalog. If a match exists, the usage decrements inventory and logs a transaction.

PoolIQ uses your catalog to provide chemical recommendations during service visits. When a technician records pool chemistry readings, PoolIQ can suggest specific chemicals and amounts based on the products in your catalog.

Filtering and searching

On the main Inventory page, use the category filter to narrow your view to specific product types:

  • All categories — Show every tracked item

  • Chemical — Pool chemicals like chlorine, acid, and balancers

  • Product — General products for pool service

  • Part — Equipment parts and components

Use the search bar to find items by name, SKU, or barcode. This helps you quickly locate specific products in large catalogs.

Troubleshooting

Why don't I see the Adjust quantity button?

The adjustment feature is only available to owners and admins. If you don't see the button, your account role doesn't have permission to adjust stock quantities. Contact your company administrator to request access or ask them to make the adjustment for you.

Why is a product showing zero quantity but I know we have stock?

The inventory shows zero when no one has received that item through the Receive Stock workflow. Products you add to your catalog don't automatically get quantities—you must receive them through the intake process. If you recently received products but the quantity is wrong, check the Inventory Log to see if a transaction was recorded. You can also use the Adjust quantity feature to correct the count.

What happens when a technician returns items?

Technicians can return items from their truck inventory back to the warehouse. The return creates a "Return" transaction in the Inventory Log and moves the quantity from the technician's checked-out total back to your warehouse count.

I scanned a barcode but got "Product not found"

The barcode you scanned doesn't match any product in your catalog. You may need to add the product first in Products & Catalog, or verify you're scanning the correct barcode label. Some suppliers use different barcodes than what's printed on consumer packaging.
